Policies

At The Wandering Picnic, our goal is simple: take care of the planning so you can focus on making memories. These policies help ensure every guest has a seamless experience while allowing us to maintain the quality and care that goes into each picnic basket.

- Full payment and a $50 refundable deposit is required at the time of booking to reserve your picnic date.

- Bookings are accepted on a first-come, first-served basis.

- Applicable taxes will be added at checkout.

- Submitting a booking through our website is a request and does not guarantee your picnic reservation. All bookings are subject to availability and will be confirmed by us before your reservation is finalized.

- Picnic baskets are available for pickup during the designated time selected during booking.

- Picnic baskets must be returned by 8pm on the same day unless alternative arrangements have been made and confirmed by The Wandering Picnic in advance.

- Late returns may impact other guests' experiences and may result in additional fees.

- Picnic baskets must be returned at the agreed-upon return time selected during booking. If you would like to arrange a later return time, we're happy to accommodate whenever possible—just let us know in advance.

- If you realize you're running late on the day of your picnic, please contact us as soon as possible. Depending on how late the return is and whether it impacts another guest's booking, additional fees may apply.

- If a basket is not returned at the agreed-upon time and we have not heard from you, the basket may be considered unreturned. In these situations, the card on file may be charged for the replacement cost of the basket and any missing contents, including all supplies and equipment provided as part of your picnic experience.

- We understand that unexpected delays can happen, and our goal is always to work with you whenever possible. Communication goes a long way, and we'll do our best to find a solution that is fair for everyone involved.

A refundable security deposit is required at the time of booking.

The deposit helps cover lost, stolen, excessively damaged, or unreturned items. Deposits will be refunded once all items have been returned and inspected.

Deductions may be made for:

- Missing items

- Excessive staining or damage beyond normal use

- Unreturned baskets or equipment

- Additional cleaning resulting from misuse

Normal wear and tear will never result in deposit deductions.

We understand accidents happen.

Guests are responsible for the care of all items included in their basket while in their possession.

Replacement charges may apply for lost, stolen, or irreparably damaged items, including but not limited to:

- Picnic baskets

- Blankets

- Bluetooth speakers

- Games and activity items

- Dishware and serving pieces

- Insulated containers

A replacement fee schedule is available upon request.

Our charcuterie boards and desserts are thoughtfully prepared by our valued local artisan partners. We are happy to accommodate food allergies and dietary restrictions whenever possible, but advance notice is required so we can work with our partners to provide suitable options.

- Picnic baskets are packed with insulation and cooling elements designed to maintain freshness for your outing.

- Guests are responsible for consuming and storing food appropriately once the basket has been picked up.

- The Wandering Picnic cannot guarantee food safety if food is left unrefrigerated outside of the basket or if the food has not been consumed within 4 hours of pick up.

The Wandering Picnic does not provide, sell, or include alcoholic beverages as part of any picnic package.

Guests are welcome to purchase and bring their own alcoholic beverages where legally permitted. It is the responsibility of each guest to ensure they comply with all applicable federal, provincial, and local laws and regulations regarding the purchase, transportation, possession, and consumption of alcohol.

Please be mindful that many public parks and outdoor spaces have restrictions or prohibitions on alcohol use. Guests are responsible for confirming and following the rules of their chosen picnic location.

The Wandering Picnic assumes no liability for the consumption of alcohol or any consequences resulting from its use during your picnic experience.

- Eligible for a full refund or complimentary rescheduling.

48-72 hours before your picnic:

- Eligible for a 50% refund or one complimentary reschedule.

Less than 48 hours

We understand emergencies happen. Requests outside of these guidelines may be reviewed on a case-by-case basis.

One of the best parts of wandering is embracing spontaneity—but we know Alberta weather can be unpredictable.

If severe weather conditions make your picnic unsafe or impractical, we are happy to reschedule your booking at no additional charge, subject to availability.

Examples may include:

- Extreme rainfall

- Severe thunderstorms

- Wildfire smoke advisories

- Other weather events deemed unsafe

Changes due to personal preference for mild weather conditions are subject to our standard cancellation policy.

Additional services and customized experiences may require separate contracts, deposits, and timelines.

Specific details, setup requirements, and cancellation terms will be outlined during the planning process.

We proudly support local artisans and encourage our guests to wander responsibly.

- Follow all local bylaws and regulations.

- Respect wildlife and natural environments.

- Dispose of waste appropriately or return it with your basket if there is nowhere appropriate to dispose of your waste.
